Short answer

For Express Entry, every job you claim needs an employer letter on company letterhead with your name, the company's address, phone and email, and the name, title and signature of your supervisor or personnel officer, listing each position with its duties, dates, weekly hours and annual salary plus benefits. If the letter is not in English or French, upload a complete translation, the translator's sworn affidavit unless the translator is certified, and a copy of the original. The translation must render duties, hours and pay exactly as written, because officers compare them with the NOC.

In Express Entry, a year of work experience is points, and points are only as good as the letter behind them. A Colombian employer writes that you were responsable de la contabilidad general, responsible for general accounting. A translation that turns this into "Financial Controller" has not polished your letter. It has moved you from an accountant's occupation to a manager's, and the two sit under different NOC codes.

IRCC's completeness check treats the employer letter as mandatory for each work experience you declare, and a missing mandatory document can get the whole application rejected as incomplete. A letter or translation that overstates your job is worse: misrepresentation makes a person inadmissible for five years under section 40 of the Immigration and Refugee Protection Act.

Below: what the letter must contain, how duties relate to the NOC, how pay stubs and work records are translated, and the mistakes that lose points.

What must an Express Entry reference letter contain?

IRCC's completeness-check instructions describe the letter as "an official document printed on company letterhead." It must show:

Element What IRCC expects
Letterhead The company's official letterhead
You Your name
The company Address, telephone number and email address
The signatory Name, title and signature of your immediate supervisor or personnel officer
Each position Job title, duties and responsibilities, dates worked
Hours Number of work hours per week
Pay Annual salary plus benefits
Current job Your job status

One letter can cover several positions at the same company, but each needs its own title, dates and duties. "Senior engineer, 2019 to 2024" hides a promotion an officer may need to see.

Self-employed work needs different proof: articles of incorporation or other evidence of business ownership, evidence of self-employment income, and documents from third parties describing the services and payments. IRCC is explicit that "self-declared main duties or affidavits are not acceptable proof of self-employed work experience." Self-employment does not count at all for the Canadian Experience Class, apart from some physicians.

Canadian work experience is supported by T4 slips and notices of assessment from the Canada Revenue Agency, already in English or French.

Do I need a certified translation of my reference letter?

Yes, if any part of it is in a language other than English or French. For Express Entry, IRCC wants an English or French translation "stamped by a certified translator" or, from a translator who is not certified, a translation with the translator's affidavit, plus "a scan of the original document, or a scan of a certified photocopy of the original document that the translator worked from."

A certified translator, in IRCC's words, "is a member in good standing of a professional translation association in Canada or abroad." The affidavit route is open to any other professional translator, who swears to the translation's accuracy before a notary public or commissioner of oaths. You, your relatives and your representative cannot translate. The letterhead, stamp and signature block are translated too. More in our guide to IRCC translation requirements.

How do the duties in my letter relate to the NOC?

Your claimed job must match a National Occupational Classification (NOC) code, and the duties in your letter are how the officer checks it. For the Federal Skilled Worker Program, your experience must:

  • be in TEER category 0, 1, 2 or 3, in the same NOC as your primary occupation;
  • show you performed the actions in "the lead statement of the NOC job description" and "most of the main duties listed";
  • be paid, within the last 10 years, and amount to at least one year of continuous work or 1,560 hours (30 hours a week). IRCC does not count hours above 30 a week.

IRCC's instructions to officers set the test as "a substantial number of the main duties, including all of the essential duties."

That is why the translation must follow the letter, not the NOC. A translator who rewrites duties in NOC language is changing your evidence. If the duties really match, a faithful translation will show it; if the letter is vague, the fix is a new letter from your employer, not a creative translation.

How are pay stubs, contracts and work records translated?

Express Entry's mandatory list for foreign work is the employer letter, but supporting records carry weight when an officer wants more, and other programs ask for them directly. They are translated in full:

Record Local name What the translation must keep
Work record book (Russia, Ukraine) трудовая книжка (Russian), трудова книжка (Ukrainian) Every entry: dates, positions, order numbers, stamps
Work card (Brazil) Carteira de Trabalho e Previdência Social (CTPS) Employer, position and occupation code, start and end dates, salary
German reference Arbeitszeugnis Literal wording, including set phrases that grade performance
Pay slip recibo de nómina (Mexico), holerite (Brazil), Gehaltsabrechnung (Germany), расчётный листок (Russia), 工资条 (China), فیش حقوقی (Iran) Pay period, gross pay, every allowance and deduction, net pay, currency
Employment certificate 在职证明 (China), constancia laboral (Latin America), گواهی اشتغال به کار (Iran) Everything, and it still needs IRCC's elements

Three working rules:

  • Abbreviations are expanded in brackets. Tax, pension and health-insurance deductions often appear as acronyms the officer cannot decode.
  • Amounts stay in the original currency and pay period. "45 000 руб. в месяц" is 45,000 rubles a month, not an annual Canadian dollar figure.
  • Set phrases are translated, not interpreted. A German Arbeitszeugnis grades performance through stock phrases such as stets zu unserer vollsten Zufriedenheit ("always to our fullest satisfaction"). It also rarely states salary or weekly hours, so ask HR for a separate confirmation that does.

Where else do employment letters and pay stubs matter?

Visitor visas. IRCC recommends an employer letter that confirms your job and shows you will return to it: on official letterhead, dated no earlier than three months before you apply, with your full name and date of birth, start date, a brief job description, current salary, your manager's contact details and the employer's name, address and country, signed by your manager or HR.

Super visas. If the host in Canada earned at least 75% of the minimum income, the parent or grandparent can add their own income with "pay stubs for the most recent 12-month period available" or "an original letter from an employer stating job title, job description and salary." Proof of continuing income "must include the currency you're paid in." See visitor visa and super visa documents.

Study permits. A parent or sponsor paying for your studies writes a letter that includes "their employment or occupation (a letter from the employer, pay stubs, etc.)", alongside their bank statements and proof of funds.

Quebec. For Quebec selection, MIFI's translator rule is stricter than IRCC's: a translation made in Canada must come from a member of OTTIAQ, ATIO, STIBC or CTINB, or from the issuing country's embassy or consulate. A translation with a Certificate of Accuracy and an affidavit does not meet it. See Quebec immigration documents.

Why reference letters cost applicants points

  • Duties summarized or "upgraded" in translation, so the NOC match no longer rests on what the employer wrote.
  • Weekly hours missing, or monthly hours given without a weekly figure.
  • Salary without its period (monthly or annual), without benefits, or without currency.
  • The wrong signatory: a colleague rather than the immediate supervisor or a personnel officer, or no title under the signature.
  • No email or phone for the company, which leaves the officer nothing to verify.
  • One date range for several positions at the same employer.
  • Self-employment backed by a self-declaration only.
  • Names transliterated differently from the passport.

Questions people ask

What must an employment reference letter for Express Entry include?

It must be on company letterhead and show your name, the company's address, phone and email, and the name, title and signature of your immediate supervisor or personnel officer. For each position it lists the job title, duties and responsibilities, dates worked, hours per week and annual salary plus benefits, and for a current job, your job status.

Do I need a certified translation of my employment letter for Express Entry?

Yes, if it is not in English or French. Upload the translation with either a certified translator's stamp or the translator's sworn affidavit, plus a scan of the original or of a certified photocopy. You, your family and your representative cannot translate it.

Can the translator make my duties match the NOC description?

No. The translation must render the duties exactly as your employer wrote them, and officers compare those duties with the NOC lead statement and main duties. Rewriting them risks a misrepresentation finding, which carries a five-year inadmissibility period.

Should the salary be converted to Canadian dollars?

No. The translation keeps the original currency and pay period, such as a monthly salary in rubles or pesos. If you need Canadian dollar figures for a form, calculate them separately.

Do pay stubs need to be translated?

Yes, whenever you submit them and they are not in English or French. They support work experience and income, and IRCC asks for them directly in some programs, such as a super visa where the parent adds their own income. Every earnings and deduction line is translated.

What if my employer's letter is missing the hours or salary?

Ask the employer for a corrected letter before you translate it. A translator cannot add information the original does not contain, and a letter without weekly hours or annual salary plus benefits does not meet IRCC's description of a reference letter.

How do I prove self-employed work experience?

With evidence of business ownership such as articles of incorporation, evidence of self-employment income, and documents from clients or other third parties describing the services and payments. IRCC does not accept self-declared duties or affidavits as proof of self-employment.

How much does a reference letter translation cost and how long does it take?

Official Translations charges CA$39.95 per page, a page being up to 300 words, plus CA$24.95 per document for the sworn affidavit IRCC requires. A one-page letter is usually delivered as a signed PDF within 24 hours, and a full work record book takes one to three business days.
