Terms of Service

Last updated: 18 June 2026

These Terms of Service ("Terms") govern your access to and use of the websites, products, and services of Official Translations LLC ("Official Translations," "we," "us," or "our"). By requesting a quote, placing an order, or otherwise using our services, you agree to these Terms. Please read them carefully.

1.Acceptance of Terms

By submitting documents, requesting a quote, or completing an order, you confirm that you are at least 18 years old (or have the consent of a parent or guardian) and that you accept these Terms in full. If you do not agree, please do not use our services.

2.Services We Provide

Official Translations provides professional language services, which may include certified translation, standard translation, notarization arrangements, apostille and legalisation assistance, and related document services. The specific scope of any engagement is defined by the quote and order you approve.

Each certified translation is accompanied by a signed Certificate of Accuracy attesting that the translation is, to the best of our knowledge and ability, a true and accurate rendering of the source document.

3.Quotes, Orders, and Pricing

4.Payment

Payment is due at the time of order unless other terms have been agreed in writing. We accept the payment methods shown at checkout. All fees are stated in the currency displayed at the time of purchase and are exclusive of any taxes or duties that may apply.

5.Turnaround and Delivery

Estimated turnaround times are provided in good faith and begin once we have received your complete, legible documents and full payment. Delivery times for physical copies depend on the carrier and destination and are outside our direct control. Standard delivery is by digital copy; printed and mailed copies are available on request and may carry additional fees.

6.Your Responsibilities

7.Accuracy, Acceptance, and Revisions

We take care to deliver accurate, professionally prepared translations. If you identify an error caused by us, notify us within 30 days of delivery and we will correct it at no charge.

While our certified translations are widely accepted by government agencies, courts, universities, and other institutions, acceptance is ultimately decided by the receiving authority. We cannot guarantee that any particular institution will accept a translation, as acceptance policies are set by each authority and may change.

8.Refunds and Cancellations

Because translation is a custom service performed specifically for you, refund eligibility depends on the stage of work completed. If you cancel before work has begun, you are eligible for a full refund. If work is in progress or complete, refunds are assessed on a case-by-case basis. Where we are unable to correct a substantiated error, a partial or full refund may be issued for the affected portion. Contact us to discuss any concern.

9.Confidentiality

We treat the documents and personal information you provide as confidential and use them only to perform the services you have requested. Access is limited to the personnel and qualified linguists involved in your project. Our handling of personal data is described in our Privacy Policy.

10.Intellectual Property

Upon full payment, you own the delivered translation of your document. We retain ownership of our underlying templates, tools, certification formats, glossaries, and website content. You may not resell or redistribute our certification materials as your own.

11.Disclaimers

Our services are provided on a professional-services basis. We do not provide legal, immigration, financial, or medical advice, and our translations and guidance should not be relied upon as such. Information on our website is provided for general informational purposes and may be updated at any time.

12.Limitation of Liability

To the fullest extent permitted by law, our total liability arising out of or relating to your order will not exceed the amount you paid for that order. We are not liable for indirect, incidental, or consequential damages, including missed deadlines caused by carriers, by incomplete documents, or by a receiving authority's decision.

13.Governing Law

These Terms are governed by the laws of the State of California, United States, without regard to its conflict-of-laws rules. Any dispute will be subject to the exclusive jurisdiction of the courts located in California, unless otherwise required by applicable consumer-protection law in your place of residence.

14.Changes to These Terms

We may update these Terms from time to time. The "Last updated" date above reflects the most recent revision. Continued use of our services after changes take effect constitutes acceptance of the revised Terms.
