How to Submit Your Documents for Certified Translation

What to Send Us

To get your document certified translated, you simply need to provide a clear, legible copy of the original. You do not need to send the physical original — a scan or high-quality photograph is sufficient for the vast majority of documents.

Accepted File Formats

  • PDF — preferred format for official documents
  • JPG / JPEG — suitable for document photographs
  • PNG — suitable for scanned documents
  • TIFF — high-resolution scans
  • DOCX / DOC — for word-processed documents

Scan Quality Requirements

The quality of your submission directly affects the quality and speed of your translation. Blurry, skewed, or poorly-lit images slow down the process and may result in errors.

For Scanners

Scan at 300 DPI or higher. Ensure the entire document is within the scan area — no cut-off edges. Save as PDF or TIFF for best quality.

For Smartphone Photographs

Most modern smartphones produce sufficient quality for document translation. To get the best results:

  • Place the document flat on a plain surface
  • Use good natural or overhead lighting — avoid shadows and glare
  • Ensure the entire document is in frame with no edges cut off
  • Hold the phone directly above the document (not at an angle)
  • Use your phone's document scan mode if available (iOS has this built into Notes; Android has Google PhotoScan)

Can't read it? Neither can we. If any text is illegible in your submitted image, we will contact you before proceeding. It is faster to re-scan than to correct a completed translation.

What to Include with Your Submission

When submitting your order, provide:

  • The document file(s) to be translated
  • The source language (the language of the original document)
  • The target language (the language you need the translation in)
  • The purpose of the translation (visa application, university enrolment, employment, overseas use, etc.) — this helps us select the right translator
  • Your required delivery date (standard or urgent)

Do You Need to Send the Original Document?

For digital delivery (PDF), you do not need to send the physical original. A clear scan or photograph is sufficient. If you require a physical certified translation with original stamps and signatures sent by post, we will arrange this as an add-on to your order.

Multi-Document Orders

If you are submitting multiple documents — for example, a full residency application pack — you can upload all files in a single order. Bundle pricing may apply. Indicate the total number of documents and any specific delivery deadline when placing your order.

After You Submit

After receiving your documents, we will confirm the quote, turnaround time, and assign your translator. You will receive your completed certified translation by digital PDF within the agreed timeframe.
